What Are The Basics Of Microsoft Forms?

MS Forms is designed for creating simple but powerful shareable quizzes, polls, and surveys. It works in four simple steps:

  1. You create a form.
  2. Share the form with your respondents.
  3. You then monitor and view responses in real-time.
  4. The MS Forms system analyzes the results and automatically generates insights and visual charts.

Microsoft Forms is available for users with personal Microsoft accounts or O365 Business Premium, O365 Business Essentials, O365 Enterprise E1/E3 subscription plans. Recently, Microsoft released Microsoft Forms Pro that is customizable to fit your business’s branding, integrates fully with MS Dynamics, and allows you to automate workflows. However, today we’re only focussing on Forms’ standard version.

How Do You Access And Use Microsoft Forms? To access the app, you first need to log into your Microsoft account via a browser. If you don’t see Forms after the log-in, click on the “explore all apps” tab at the interphase’s bottom. If you still can’t see it, then it’s not part of your M 365 package. The other option is to go straight to forms.microsoft.com.

How Do You Create A New Microsoft Form/Quiz? On the app’s home screen, select New Form and then click on Untitled Form. You can name your form and add a brief description to it. The next step is to Add New questions.

You can add different types of questions depending on the nature of the survey:

  • Choice: Here, your respondents choose from Multiple Answers by ticking those that they like.
  • Net Promoter Score: Gives the audience a chance to rate their likelihood of recommending your organization to others on a scale of 1-10.
  • Ranking: Respondents index their preferences.
  • Rating: Here, users give star or number ratings (scale of 2-10) based on their satisfaction levels.
  • Text: Respondents key in their answers manually.
  • Likert: What are your users’ opinions or attitudes towards selected topics?
  • Date: Respondents enter their preferred dates.
  • File Upload: A new folder is created to capture all files uploaded by respondents and their respective names.

The process of creating quizzes is similar to that of creating forms, only that in quizzes, you must assign each question a point.

How Do You Share Your Forms? Click on Preview to see how your form looks. You can then use the Settings icon to limit the number of responses per user, set start and end dates, shuffle the questions, and pre-set personalized thank-you messages for the respondents. Finally, you choose who can respond — anybody with the link or just users within your enterprise. Forms are shared via links, QR codes, emails, or by embedding them on webpages.

How Do You Track Feedback Using Microsoft Forms? Open the form and click on the Response tabs. At the top of the next interphase, you’ll see a summary of the total number of respondents and average scores. The app analyzes this data and generates visual charts for the distribution of responses. Alternatively, you can choose to Open in Excel for a more detailed analysis.
